Executive/Personal Assistant


 

We are looking for an incredibly organized and motivated Executive/Personal Assistant who will work directly with the Founder. The goal of this role is to support the Founder to have greater capacity to grow the business while continuing to care for current clients and to help make more space to prioritize quality time with family over the summer months. This person should have strong written and verbal communication skills, be excited to steward many different tasks at any given time, and act with integrity and care for helping the Founder establish work/life balance. They should also be a forward-thinker who actively seeks opportunities, has positive outlook, and proposes solutions. 

What You’ll Do

  • Support the Founder in maintaining her day-to-day calendar as well as her household schedule and tasks using discretion to make sure her time is well-utilized; assume central coordination for internal and external requests and arrange travel plans, household schedule, itineraries, and meeting agendas; 

  • Review schedules weekly to ensure that the Founder is aware of any materials she needs to prepare for upcoming meetings, and assist with the preparation of these materials as necessary;

  • Keep the Founder on track with daily, weekly, and monthly agendas and take initiative to shift tasks as necessary to ensure the most pressing items are addressed in a timely way so that she can balance work requests and family priorities;

  • Research, prioritize, and follow-up on incoming projects and help assess the appropriate course of action, referral, or reply; 

  • Review documents for grammatical errors, typos, and formatting needs;

  • Update and maintain notes and next-steps for meetings;

  • Work closely and effectively with the Founder to keep her well-informed of upcoming commitments and responsibilities, and follow-up appropriately;

  • Coordinate logistics for family schedule, support with household errands including meal planning, grocery shopping, kids laundry, managing/planning kids/family activities as needed.

Who We’re Looking For

  • Have experience as an Executive Assistant or project manager;

  • Currently residing in Charleston-area

  • Have a valid driver’s license and vehicle insurance;

  • Ability to travel locally (regularly)

  • Devotion to the highest standards of integrity; 

  • Dependability to perform duties with the utmost confidentiality; 

  • Experience in exercising sensibility, discretion, and diplomacy when handling all matters, information, and relationships (including confidential or sensitive information);

  • Strong writing skills and experience;

  • Fluency in G Suite and confidence learning new programs;

  • Be able to work efficiently, juggle multiple projects with appropriate prioritization, adhere to established time frames, and adapt to evolving circumstances;

  • Confidence to take initiative and make informed choices proactively;

  • Strong people skills, emotional intelligence, and be able to work well with others; 

  • Outstanding relational communication skills (both written and oral);

  • Enthusiasm, creativity, patience, good judgment, and flexibility in their work; 

  • Be able to work both freely and in a team environment;

  • Excellent organizational skills, with a high accuracy and attention to detail;

  • Someone who is able to make phone calls on the Founders behalf;

  • Someone who has their own reliable computer and willing to use it for this role;

  • Someone comfortable working from Founders home office in Mount Pleasant, but also able to complete tasks at other flexible hours virtually;

  • Someone comfortable with animals in the home office (dog and kittens).

Pay & Schedule

  • $25-30/hour based on experience;  

  • 10-15 hours - working from home office ideally 3 mornings/week for at least 2-3 hours with additional hours being completed virtually;

  • Ideally starting week of June 5 until August 25 with opportunity to continue to evolve the role and work beyond the summer.
